Client data stays in the firm –
even with AI

Attorneys, notaries, tax advisors and auditors are bound by a duty of professional secrecy that reaches further than data protection law. In Austria, § 9(2) RAO (Rechtsanwaltsordnung, the professional code for attorneys), § 37 NO (Notariatsordnung, the notarial code) and § 80 WTBG 2017 (Wirtschaftstreuhandberufsgesetz, the act governing tax advisors and auditors) all require secrecy about what clients and parties entrust to the firm. Mimirio runs on the firm’s own infrastructure – no extract from a file reaches an external AI service.

Use Case 01 · Professional Secrecy & Data Sovereignty

Secrecy is professional law –
not a configuration setting.

§ 9(2) RAO and § 80 WTBG 2017 require secrecy about everything entrusted to the firm – regardless of whether the information happens to be available elsewhere. § 37(2) NO goes further: notaries must also bind their own staff to secrecy and monitor that they keep to it. The duty therefore does not end with the individual professional. Guidance on the use of AI published by the German Federal Bar (Bundesrechtsanwaltskammer) in January 2025 sets out the professional-conduct risks this creates for AI tools. Mimirio answers that at the architecture level rather than in a settings panel: the platform runs where the files already are.

Files and deeds never leave the firm

Mimirio runs entirely on your own infrastructure. No pleading, no deed, no file note and no client correspondence is transmitted to an external AI service – not even for processing.

No model training on client data

Whatever the AI learns from the firm’s archive stays in the firm. It does not flow back into any vendor’s model and is not available to any other practice.

Separation between matters and parties

Your existing permission structure decides who may see which file. Mimirio answers each person only from the documents they already have access to, so information barriers between matters stay intact.

Traceable down to the passage

Every answer names the document, the section and the page. Anyone who relies on it can substantiate it – to the client, to the court and to the authorities.

Use Case 02 · File Work & Research

The firm’s own archive –
searchable like a memory.

Every law firm and every notarial office carries decades of pleadings, deeds, opinions, contracts and file notes. The knowledge is there but hard to reach: it sits in file shares, in email threads and in individual heads. Mimirio makes that archive answerable without a single document leaving the firm.

“Have we handled this before?”

Comparable matters, earlier pleadings and lines of argument the firm has already worked out: Mimirio finds them across the whole archive, even when nobody remembers which matter it was.

Check drafts against your own practice

New contract and deed drafts can be held against the firm’s precedents and drafting practice. Mimirio shows the deviation and the passage in the reference document it follows from.

Deadlines out of the correspondence

Mimirio reads deadlines out of letters, official decisions and emails, and proposes tasks from them. Sign-off stays with the team – Mimirio supplies the proposal, not the decision.

Documents in the firm’s template

File notes, client reports and summaries are produced directly in the firm’s own templates and visual identity – as a Word file, not as text to copy out.

Use Case 03 · Matter Work & Communication

Less file administration,
more work on the matter –
for the firm and the notarial office.

Meetings need minutes, incoming post needs sorting, status questions need answering. This work is rarely billable and arrives every day regardless. Mimirio takes on the preparatory part and puts a working draft in front of the team instead of an empty screen.

Meeting minutes and file notes

Every meeting transcript becomes a structured file note with a task list, in the firm’s own template. What belongs on the matter is in the file the same day.

Incoming post, already processed

Mimirio reads incoming letters, official decisions and client enquiries, assigns them to the matter and summarizes what they are about. Work starts with the substance instead of the sorting.

Translation with the right terminology

Mimirio translates contracts, correspondence and opinions in proper legal and tax terminology – internally, without a document leaving the building.

Matter history on demand

“What did we write to the client in March about the liability question?” Mimirio searches the filed correspondence and returns the answer with a direct link to the document.

Probate: the state of play at a glance

Wills, asset records, letters from authorities and correspondence: Mimirio pulls them together into an overview of the proceedings – every detail with a reference to the document it came from.

Keep escrow conditions visible

Mimirio reads conditions, requirements and deadlines out of the escrow agreement and turns them into a task list. Review and release stay in the firm – Mimirio supplies the proposal, not the decision.

Use Case 04 · New Talent & Knowledge Transfer

When experienced colleagues leave,
their knowledge stays in the firm.

Daily practice runs on experience that is documented nowhere: which line of argument holds, how an authority usually decides, why a clause was worded that way at the time. When the person goes, the knowledge goes. Mimirio captures it while it can still be asked for.

Secure experience before it walks out

Mimirio continuously captures file notes, meeting notes and decisions and turns them into a searchable knowledge base. Knowledge transfer starts years before the handover instead of in the final week.

Succession Knowledge transfer

Let junior colleagues ask without interrupting

Mimirio answers questions about procedures, templates and responsibilities at any time, from real firm documents. Trainee lawyers, notarial candidates and trainee tax advisors keep moving without interrupting the partners.

Onboarding New talent

Up to speed on the matter faster

New colleagues need to understand the state of each matter, the internal procedures and the template landscape. Mimirio answers those questions from the real documents – not from a handbook nobody maintains.

Onboarding

Cover without a handover gap

Anyone taking over a matter at short notice gets the state of play, the deadlines and the correspondence history summarized – with references to the documents it came from.
